This privacy statement applies to the Epicnap mobile application, the website epicnap.com, and any contact you have with us. We explain what data we collect, how long we keep it, how you can have your data deleted, and what your rights are. We handle your information with care and store it securely. 1. When do we apply this privacy statement?

This privacy statement applies to all personal data that we process and to all domains and services related to us. This includes the personal data of everyone who has contact with us or uses the Epicnap app or website epicnap.com, such as visitors, customers, and business contacts. Personal data is any data that can be traced back to you as an individual, such as your name, email address, telephone number, IP address, or usage behaviour.

2. Who is responsible for your data?

Discipline Dreams is responsible for the website epicnap.com and the Epicnap app, and is therefore the data controller for the use of your personal data as described in this privacy statement. 3. Whose data do we use?

We process the personal data of everyone who has contact with us or uses our website or the Epicnap app. This includes visitors, private customers, business customers, and contact persons of our partners.

4. How do we get your data?

We receive data directly from you when you:

  • visit our website
  • enter data on our website
  • create an account or use the Epicnap app (including name, email, age, gender)
  • sign in with Apple or Google (we receive data necessary for your account from the provider and, where applicable, Firebase)
  • give permission for its use to one of our partners
  • give permission in the Epicnap app (e.g. for research participation)
  • give permission to share Google Fit and/or Apple Health data with the app (such data is used by the app and, if you have given research consent, may be sent to our servers in anonymised or aggregated form as described in the app)

5. What data do we use?

We use the following data:

  • Account data: name, email address, age, gender, and (for sign-in) identifiers from Apple, Google, or Firebase as needed to operate your account
  • App usage data: alarms, bedtimes, and notification settings you set in the app (stored on our servers)
  • Sleep and survey data (only with your consent): If you opt in to research participation in the app, we may receive and store sleep quality data, sleep times, and data from questionnaires. If you do not consent, such data remains only on your device
  • Website and technical data: IP address, session and login information where you use our website, and similar technical data
  • Analytics and stability: We use Firebase Analytics (e.g. app usage, device type) and Firebase Crashlytics (crash reports) to improve the app. We do not sell your personal data

6. What do we use your data for?

We use your personal data only for the purposes for which we are allowed:

  • With your permission: where we have asked for and you have given consent (e.g. research participation, optional health data)
  • To provide our services: to run the Epicnap app and website, manage your account, store your alarms and bedtimes, and give you the best possible experience
  • Legal obligations: where we must retain or process data to comply with the law

7. How long do we store your data?

While you have an account, we keep your account and associated personal data (including surveys, sleep data sent to us, alarms, bedtimes, and notifications) for as long as your account exists. After you delete your account, we delete your account and associated personal data from our systems within 30 days. Some data may remain in backups for up to 90 days before being overwritten. Where we are required to keep data for legal obligations (e.g. tax or regulatory), we retain it only for the period required by law (e.g. up to 7 years where applicable). Data sent to Firebase (Analytics and Crashlytics) is subject to Google’s retention and privacy policies. You may request that we delete data we hold or request deletion from Firebase by contacting us at info@epicnap.com.

8. How can you have your data deleted?

In the app: go to Profile → Delete Account, enter your password and confirm. This permanently deletes your account and the personal data we hold (account details, surveys, sleep data sent to us, alarms, bedtimes, notifications). Data is removed from our servers within 30 days as described in section 7. By email: you can also request full deletion of your data by contacting info@epicnap.com. We will process your request within 30 days and confirm once the deletion has been carried out. On your device: uninstalling the app removes data stored only on your device (e.g. local surveys, caches). To also remove data we hold on our servers, use Delete Account in the app or email us. For deletion of data held by or via Firebase (e.g. Analytics, Crashlytics), contact us at info@epicnap.com and we will process your request in line with our and Google’s policies.

9. Who do we share your data with?

We do not sell your personal data. We only process your personal data ourselves or with service providers that help us run the app and website (e.g. hosting, Firebase for analytics and crash reporting). We require such providers to protect your data and use it only as we instruct. We may disclose data when required by law or to protect the rights and safety of our users or the public.

10. Where do we store your data?

We process your data within the European Economic Area (EEA). This means that we also store your data within the EEA. If you have questions about this, please contact us at info@epicnap.com.

11. How safe is your data with us?

We take organisational and technical measures to protect your data. We secure our systems and communications so that your data does not fall into the wrong hands. We ensure that only people who are authorised by us can access your data. If you have questions about how we secure your data, please contact us at info@epicnap.com.

12. What are your rights?

Because we use your personal data, you have the following rights:

  • Right to information – to be informed about how we use your data (this policy)
  • Right of access – to receive a copy of the personal data we hold about you
  • Right to rectification – to have incorrect or incomplete data corrected
  • Right to erasure (“right to be forgotten”) – to have your data deleted, including by using Profile → Delete Account in the app or by emailing info@epicnap.com (see section 8)
  • Right to restriction – to ask us to limit how we use your data in certain circumstances
  • Right to object – to object to processing in certain circumstances
  • Right to data portability – to receive your data in a structured, commonly used format; you can request a copy by emailing info@epicnap.com, and we will provide it within 30 days where applicable
  • Right to lodge a complaint – to complain to a supervisory authority (e.g. the Dutch Data Protection Authority, Autoriteit Persoonsgegevens)

How do I submit a request or complaint? Send your request or complaint to info@epicnap.com. We will process every request or complaint within 30 days. If your request or complaint is complex or there are multiple requests, it may take longer; in that case we will contact you within 60 days at the latest. We may ask you to identify yourself so that we can ensure we are responding to the correct person.

13. Which rules apply to this privacy statement?

Our privacy statement must meet several conditions. These are set out in particular in the General Data Protection Regulation (GDPR) and the Dutch implementation thereof. General rules under Dutch law also apply.

14. Which cookies do we use?

You can influence what data we use. If you have given us permission to personalise your experience based on your use of our website, we may use cookies to make the website easier and more personal for you. A cookie is a small text file that is placed on your device when you visit our website. We use the following types of cookies:

  • Functional cookies: such as session and login cookies to collect session and login information

15. What do we do with data of minors?

We do not target minors with our website or as an organisation. If you are under 18, you need permission from a parent or guardian to use our website or the Epicnap app. If you are a minor when you use our services, we assume that you have received this permission.
